Calendar: Opening/ Closing dates and managing them

Open dates/open for booking and Closed dates/closed for bookings are the 2 terminologies that are used in the Vacation Labs booking system in relation to dates available for booking or not. The Calendar section allows you to open your tour to accept online Bookings, changing tour rates and capacity for particular/multiple dates. Below article will help you with opening/closing dates, changing capacity/rates, etc and exploring the options in the calendar!


  1. Click on the Products Tab

  2. Select the Trip (Click on the Edit button)
  3. Click on the Calendar.


Opening Dates: 

A date open for booking implies that the date is available for booking and the customer coming to your website will be able to book a tour on that particular date. You can open calendar for a  tour with multiple time slots or without any time slot.


Without time slots

  1. Click on the Open Dates

  2. Select the Start Date
  3. Click on the Repeat checkbox (if you wish to open dates for multiple days)

  4. Select the End date


You can also find a few interesting options that allow you to open the dates in the calendar for specific days i.e if you conduct a tour only on Monday, Wednesday, Friday. 


With multiple time slots

This option is best suitable for short tour operators who have multiple start time for a tour in a day.

  1. Click on the Open Dates
  2. Select the Start Date
  3. Click on Need to Specify the Start Time

  4. Click on the Repeat checkbox (if you wish to open dates for multiple days)
  5. Select the end date.


Closing Dates:

A date closed for booking is the complete opposite of open dates and means that a person coming to your website to book a tour on a closed date, will not be able to do so.

So when will you need to close a particular date or a range of dates for booking?

One example of this would be when your organisation is on holiday/leave. Another example can be that your organisation is short on resources like tour guides etc. for some dates.

The reasons can be many, so let's go ahead and learn how to close dates for booking.

You might have to close the bookings for Multiple days, for a specific day or a specific time slot.


In bulk (For multiple dates)

  1. Click on any open slot

  2. Click on the Close time slot 

  3. Click on For Multiple days

  4. Select the end date
  5. Click on Close Slots


For a specific date

  1. Click on a specific day for which the slot needs to be closed.
  2. Click on the Close current slot.

Please repeat the above steps if you want to open multiple slots for a particular day.


For specific Time Slot

  1. Select the time slot that needs to be closed
  2. Click on the selected time slot
  3. Click on Close Current Slot


Changing Capacity:

The calendar section in each trip also allows you to change the capacity for a particular date/dates i.e If you think you might receive heavy bookings on weekends then you can modify the capacity of the participants for the weekends.


For a particular date

  1. Click on the open slot for the particular date for which the capacity needs to be changed.

  2. Click on the Change Capacity

  3. Modify the numeric value in the textbox
  4. Click on Change Capacity


For multiple dates

  1. Click on the open slot for the particular date form which the capacity needs to be changed.
  2. Click on the Change Capacity
  3. Select the End date from the calendar

  4. Modify the numeric value in the textbox
  5. Click on Change


Changing Rates:

Similar to changing capacity, the calendar section in each trip also allows you to change the rates for a particular date/dates i.e If you wish to modify the rates for your tour on specific dates then you can modify the rates for those specified dates.


For a particular date

  1. Click on the open slot for the particular date for which the rates needs to be changed.
  2. Click on the View/Change Rates

  3. Modify the rates
  4. Click on Save


For multiple dates

  1. Click on the open slot for the particular date form which the rates need to be changed.
  2. Click on the View/Change Rates
  3. Select the End date from the calendar

  4. Modify the rates
  5. Click on Save


Please Note:

  1. Bookings and Enquires can be accepted only if the dates are opened in Calendar.
  2. If the dates are not opened and Tour is set to Booking/Enquiry mode, below message will be displayed on the webpage.
  3. All the manual changes (i.e Closing/Opening/Changing of dates or capacity) for a particular or multiple dates will be highlighted by an overridden label.
