Payment flows: Minimum deposit, balance payment, payment reminders, and more

Overview

This feature allows you to configure a minimum deposit for a tour along with a payment deadline. If the minimum deposit is not paid before the specified deadline, customers will no longer have the option to pay just the deposit. Instead, they will be required to pay the full amount of the booking.

At the time of booking, customers are given the flexibility to either pay the minimum deposit or make the full payment upfront.


Understanding the Three Minimum Deposit Options

While setting up the minimum deposit in the system, you have three options to choose from. These options allow you to define how much deposit you want to collect from the customer, as a minimum payment. Depending on your business requirements, you can configure the deposit using one of the following methods:
  1. Percentage of Total Booking Amount: Collect a fixed percentage of the total booking value as a deposit.
  2. Flat Amount Per-Passenger: Specify a fixed deposit amount to be collected for each passenger in the booking.
  3. Flat Amount Per-Booking: Set a single fixed amount to be collected for the entire booking.
You can choose and configure the most suitable option based on your payment collection policy.



Setting Up Minimum Deposit and Payment Deadline

To configure a minimum deposit and set a payment deadline for your trip, go to Product > Trips > Edit the Trip > Settings. Enable the option "Allow a partial deposit to make a booking for this tour."



Once enabled, you'll be able to configure the minimum deposit amount required for the booking. You’ll also be prompted to choose how the remaining balance should be handled, with two available options:


No, I will handle the remaining amount manually

With this option, there are no restrictions on when or how the customer pays the remaining balance. They can choose to pay only the deposit or the full amount at any time before the booking cutoff, based on the configured settings.


Yes, I need full payment a certain time before the tour starts

This option lets you set a specific deadline for collecting the minimum deposit. Until this deadline, customers can choose to either pay just the deposit or make the full payment. After the deadline, only full payment will be accepted to complete the booking.

Storefront Payment Options: Minimum Deposit and Full Payment

When a customer makes a booking through the storefront, they are presented with two payment options:
  1. Pay only the minimum deposit, or
  2. Pay the full amount upfront

If a payment deadline has been configured for the minimum deposit option, the customer can choose to pay the minimum deposit up until that deadline. After the deadline has passed, the customer will be required to pay the full amount to complete the booking.

Note: If a booking cutoff time is configured and the customer attempts to book within the cutoff period, the system may either convert the booking into an enquiry or prevent the booking entirely—depending on the configuration.


No Minimum Deposit Enabled

If the minimum deposit option is not enabled, customers won’t see any partial payment options during booking. They will be required to pay the full amount upfront to confirm their tour. 


Minimum Deposit Without Payment Deadline

If a minimum deposit is configured without a payment deadline, customers have the option to pay either the deposit or the full amount anytime before the tour starts.


Minimum Deposit With Payment Deadline

If a minimum deposit with a payment deadline is configured, and the customer is booking before the deadline, they can choose to pay either the deposit or the full amount.



If the booking is made after the deadline, the customer must pay the full amount upfront.
