This article explains how to use the powerful filtering and search tools in the Bookings tab to quickly find the information you need and export it for your records.
All your bookings are managed through the Bookings tab. To narrow down your list and find specific bookings, use the filter panel located on the right-hand side of the screen.
The filters are organized into two main sections:
Balance Payment: View all bookings where an outstanding balance payment is due.
For more precise control, use the detailed filters below the quick filters. You can search and filter by:
Search for a Booking: Find a booking by entering a booking ID, customer's name, email, or a Phone number.
Booking Source: Filter by where the booking originated (e.g., Direct bookings, Agent Bookings).
Booking Dates: Narrow down bookings based on the specific date they were created/Booked.
Departure Dates: View bookings that are scheduled to start on a particular date or within a date range.
Collections: Filter bookings that belong to a specific curated collection.
Trips: Select a specific tour or activity to see all bookings associated with it.
Booking Status: View bookings by their current status (e.g., Confirmed, Pending, Cancelled).
Booking Language: Filter bookings based on the language used during the booking process.
Payment Type: Filter by the method used (e.g., Online, Offline Payments).
Channel Type: Categorize bookings based on the sales channel, such as website, Backoffice or Agent.
Search by Agent: View all bookings that were handled by a specific agent.
You can export your filtered booking data to a CSV file, which can be opened in Microsoft Excel or other spreadsheet software for reporting and analysis.
To export your bookings:
Apply any filters to display the specific set of bookings you wish to export. If you want to export all bookings, ensure no filters are selected.
Locate and click the "CSV" button.
The system will then choose the best method to deliver your file:
For smaller file sizes: The file will automatically download immediately to your computer as bookings.csv
.
For larger file sizes: A pop-up window titled "E-Mail Booking CSV" will appear. This safety measure prevents process failures for large data sets.
In the "E-Mail Address" field, enter a valid email address where you want to receive the report.
Click the "Send Report" button.
The CSV file will be generated and sent as an attachment to the provided email address.
You can then open the bookings.csv
file from your downloads folder or email in your preferred spreadsheet application. Click "Cancel" in the pop-up to close it without sending a report.
To view the complete details for any booking in the list:
In the Bookings tab, review your list of bookings. You can use the filters described above to find a specific booking quickly.
Locate the booking you want to inspect and click directly on the booking row.
Clicking on the booking row will take you to a dedicated page containing all information, correspondence, and payment history for that specific booking.
